Spreadsheet vs certificate tracker for UK holiday lets

Most self-managing short-term let hosts start with a spreadsheet. That is sensible for one property. The question is when the spreadsheet becomes the thing you forget to open — and a missed gas safety or platform upload deadline costs more than £9 a month.

When a spreadsheet is enough

• You manage one property in a single council area
• You review the sheet at least once a month
• Certificate PDFs live in one folder (not scattered across email)
• You track expiry dates, not just issue dates

A simple structure works: property name, certificate type, issue date, expiry date, RAG status, and a link to the PDF. Free templates from providers like LetComply or CertNudge are fine starting points.

When spreadsheets break down

• Two or more properties — dates multiply; one void period and you miss a renewal
• Platform upload windows — Airbnb and others may ask for proof before the engineer’s anniversary date
• Multiple cert types — gas (annual), EICR (5-year), fire risk (annual review), insurance, legionella, hot tub tests
• No proactive nudges — a passive sheet only works if you open it

Hosts often tell us the near-miss was not “we did not have the date” but “nothing reminded us at 14 days when the platform wanted the upload.”

What software should actually do

Compliance tools are only worth paying for if they email before expiry — not just store dates in another dashboard you ignore. For 1–5 property STL hosts, you typically need:

• One row per property per certificate type
• Reminders at 30, 14 and 7 days
• A simple export for insurers or platform disputes
• No legal-advice upsells you did not ask for

Enterprise landlord suites (full BTL portfolios, HMO licensing) are often overkill and overpriced for a host with three Airbnbs.
